Privacy of personal information is important to Surf Site Property Management. We are committed to collecting, using and disclosing personal information responsibly and only to the extent necessary for the premises, goods and services we provide. We also try to be open and transparent as to how we handle personal information. This document describes our privacy policies. We collect personal information on behalf of ourselves and the owners whose properties we manage. In this policy, when we use the terms "we", "our", and "us", the intention is to refer collectively to ourselves and our clients. This privacy policy discloses the privacy practices for Surf Site Property Management. This privacy policy applies solely to information collected by Surf Site Property Management. It will notify you of the following:  

  • What personally identifiable information is collected from you and how it is used and with whom it may be shared.
  • What choices are available to you regarding the use of your data.
  • The security procedures in place to protect the misuse of your information.
  • How you can correct any inaccuracies in the information.

Why We Collect Your information

We will collect your personal information for any of the following purposes: 

  • To identify and communicate with you.
  • To process payments.
  • To enable us to respond to repair and emergency situations.
  • To ensure the orderly management of the properties entrusted to our care.

Information Collection, Use, and Sharing

The Associations managed by Surf Site Property Management are the sole owners of the information collected. We only collect information that is required pursuant to the governing documents of the Association in addition to information you voluntarily provide via email or other direct contact from you. Surf Site Property Management will not sell, rent or distribute this information to anyone other than the officers of the Association managed by Surf Site Property Management.  We will use information provided to us for communication pursuant to the governing documents of the Association and the Management Agreement between the Associations and Surf Site Property Management.  We will not share your information with any third party outside of the Associations’ officers or Surf Site Property Management personnel, other than as necessary to fulfill any service requests or emergency situations.  Unless you ask us not to, we may contact you via telephone, U.S. Postal Service or e-mail in the future to tell you about business related to the management of your Association.

Your Access to and Control Over Information

You can do the following at any time by contacting us in writing at the address provided below for Surf Site Property Management:  

  • See what data we have about you, if any.
  • Change/correct any data we have about you.
  • Have us delete any data we have about you.
  • Express any concern you have about our use of your data.


We are devoted to our responsibility to ensure that your personal information remains secure. Access to your personal information will be limited to select employees within our organization who need the information to perform a specific job (for example, billing or customer service).  Where information must be provided to others, this information will be limited to only that which is specifically required for a particular task. We will do our best to ensure that your information is accurate and up to date. It is very important that you contact us when any changes to your personal information occur. We take precautions to protect your information. We do not collect sensitive information via our website or obtain any financial information such as credit card data.  Checking account numbers processed for Direct Debit ACH processing between Surf Site Property Management and a financial institution is encrypted and transmitted in a secure way.

How to Register a Complaint

You may register a privacy related complaint by contacting Surf Site Property Management.  At that time, we will review and investigate all complaints. If a complaint proves to be justified, we will take immediate and appropriate action.
